TRAVELPORT
The Wisconsin Department of
Administration awarded a contract for on-line travel arrangements to
Fox World Travel. The agency offers an online
reservations booking tool called Travelport.
All on-line air travel reservations must be booked via Travelport per DOA
requirements. Travelers have the option of using a brick and mortar agency
for air reservations if so desired, but on-line bookings must be via Travelport.
Travelport Features
Travelports web page is an
easy to use, one stop reference point for making travel arrangements. In
addition to the travel booking pages, you will find links to these UW System
information pages:
- Travel regulations
- Air travel policy
- Vehicle rental policy
- Car rental contract
information
- Lodging contracts
- Domestic meal and
lodging maximums
- Foreign meal and lodging
maximums
You will also find
telephone numbers and office hours for Fox World Travel, Quick Reference Guides,
University FAQ documents and links to a foreign currency conversion site.
Travelport Benefits
- The UW System policies
and travel contracts are embedded in Travelport including rental car
agreements, etc. Travelers dont have to remember ID numbers to obtain
contracted rates.
- Access to web fares
offered on major air carrier web sites. Travelport displays the same fare
structure offered by the carriers on their own websites including Internet
Specials.
- Electronic fare auditor
which searches for the lowest fares
- Ability to cancel a
purchased non-refundable ticket by 5:00P the following business day without
penalty if the booking and cancelation is done via Travelport. The agent
handling fee is non-refundable, but significant savings will be realized
without cumbersome processes and paperwork.
- Unused ticket inventory
which allows the usage of ticket value toward future trips. Trips cancelled
after the ticket has been issued are stored in the traveler profile. Future
trips will utilize the value of the stored ticket when applicable.
- 24-hour traveler
assistance via toll free numbers.
- Travelers are allowed to
earn personal frequent flyer miles for future business travel. **
- UW System Corporate
frequent flyer miles are automatically appended (in addition to personal
frequent flyer numbers). UW System can earn free tickets, just like an
individual.
- Ability to book hotel
and rental car reservations is available in TravelPort. (not mandatory)
- Scheduled web-based
Travelport familiarization sessions
- Ability to designate a
travel coordinator to handle your reservations. Travelers can designate more
than one Travel Coordinator. Likewise, Travel Coordinators may book on behalf
of more than one traveler.
Travelport Profile
Before you can make
reservations for flights, hotel or car, you must
complete a profile in Travelport.
Some employees may request
travel coordinator status which allows them to make reservations for others.
Potential travel coordinators must complete a profile in Travelport. When
complete, email the Travel Office to request coordinator status. Travelers must
designate a coordinator(s) in their own profile to allow that person to make
travel arrangement for them. Travelers cannot select a coordinator until that
person has created a profile and requested coordinator status.
Travelers can also be
Coordinators.
Travelport Costs:
- $7.00 per reservation
that requires no agent assistance.
- $18.00 per reservation
when agent assistance is required (special requests, or a change needs to be
made to existing reservations)
