Travelport Fox World Travel

Quick Reference Guide

 

   Log-In

 

1.       If you have already registered and completed a Travelport Profile (see document titled Self Registration and Profile Completion Instructions) proceed to #2

2.       Go to www.travelport.net

3.       Log in with your user ID (your e-mail address) and the password in which you created during the registration process.

 

Travel Coordinators:  See additional instructions titled �Travel Coordinator Instructions�.

 

 

   Profile Maintenance

 

Updates and changes to your profile are your responsibility (your travel coordinator may make changes on your behalf) and must be done directly in Travelport. 

 

Once you are logged in, you will see to the right of your screen a heading titled �MY TOOLS� and under that heading is a link titled �PROFILE MANAGER�.

 

Clicking on the �PROFILE MANAGER� link will take you to the area your profile is stored.  There are four areas that hold profile information.

 

Traveler Detail � Stores your name, phone, e-mail, administrative assistants, etc.

 

Credit Cards � Stores your credit card information used for business purposes.

 

Travel Preferences � Stores your seating preferences, meal preferences, etc.  Keep in mind these are preferences and are not guaranteed.

 

Membership Programs � Stores all of your airline frequent flyer numbers, hotel frequent stay numbers and car rental express numbers.

 

Whenever you open a section of your profile and make a change you must remember to scroll to the bottom of that page and click �SAVE�.  If you forget to do that your changes will not be saved.  Scroll back to the top of the page and click on �RETURN TO PROFILE MASTER MENU� to go to another section of your profile.

 

If you would like to designate a travel coordinator to confirm travel on your behalf, select �TRAVEL COORDINATOR� under the �PERSONAL TOOLS� area of �TRIP TOOLS�. Select Add Travel Coordinator. From the alphabetical listing, choose the preferred travel coordinator by last name and click �SAVE�If the traveler coordinator in which you want to select is NOT listed in the drop down box, you must contact the travel manager to ensure that person has been assigned coordinator access.

 

    Confirm A Flight

 

Specify Your Search Criteria

 

1.       On the welcome page, click on either the �Online Reservations� under the Fast Access title or the �Click here for online reservations� link in the middle of the screen

2.       Determine how you would like to search for a flight by clicking a tab:  Round Trip by Price, One Way by Price, Multi City by Price, Search by Schedule, Hotel only, Car only

3.       Enter departure and destination information including dates and preferred arrival and departure time 

4.       Review other search criteria and select your preference from drop-down menus for each.

 

NOTE:  When searching by Price, other preferences such as airline or connection city may be overridden by lower fare options.

 

5.       Click Search to display the flight search results.

 

NOTE:  if you do not find a flight that meets your needs, click Revise Flight Search and specify new criteria.  Opening the time window for your search or searching by schedule will allow you to alter your search

 

Reserve A Flight

 

1.       Locate the flights that meet your needs.

Click select.

NOTE: Approved In Policy options are those that fall in line with the lowest applicable fare based on your search criteria.  Out of Policy options are those in which the fare is a predetermined amount higher than the lowest fare offered.  Travelport will allow you to select these options: however you will be required to choose from a list of reasons for doing so at the end of the reservation process.

2.       If you are reserving a flight only, select Buy It and refer to the section titled �Purchase and Review Itinerary Items�.

3.       If a car and/or hotel are needed, refer to the sections titled �Reserve a Hotel� and �Reserve a Rental Car�.

 

 

Reserve A Hotel

 

Specify Your Search Criteria

 

1.       Click the Add a Hotel button at the top or bottom of your screen or on the Add a Hotel link under Trip Tools.

2.       Select an option to Search by City or Airport; or Search by Address.

   Search by City or Airport will only retrieve hotels for locations in cities that have a valid airport code.

   Search by Address will show hotels plotted on Mapquest

   Search by Location (available upon request when multiple corporate locations are provided)

 

 

NOTE:  If you do not find a room that meets your requirements, click Revise Hotel Search at the top of the page and specify new search criteria.

 

Reserve A Room

 

1.       On the search results page, locate a hotel that meets your requirements and click on the show available rooms to display individual room rates.

 

NOTE: Be aware that the �Rates Start From� dollar amount is listed by individual properties as their lowest published rate at any given time and may not reflect actual available rate at the time of travel

 

NOTE:   If you do not find a room that meets your requirements, click on the Revise  Hotel Search link to specify new search criteria.

 

2.       Click on �View Hotel Details� to verify rate and cancellation information.

3.       Click on Select to reserve your desired room

 

 

   Reserving A Rental Car

 

Specify Your Search Criteria

 

1.       Click the Add a Car button on the top or bottom of your screen or on the Add a Car link under Trip Tools.

2.       Enter the required search criteria. NOTE:  the pick up and drop off time will pre-populate based on your flight itinerary and can be modified

3.       Add additional search criteria (vehicle size, preferred vendor)

4.       Click Search for a list of cars matching your criteria.

 

NOTE:  If you do not find a car that meets your requirements, click Revise Car Search at the top of the page and specify new search criteria.

 

Reserve A Car

 

1.       On the car Results page, locate a car that meets your needs.

2.       Click on �View Car Details� to verify rate and cancellation information.

 

3.       Click on Select to reserve your desired car

 

 

    Purchase and Reviewing Itinerary Items

 

1.       If you are ready to purchase this itinerary, click the Buy It button either at the top or bottom of your screen. 

2.       You have the option to choose the segments in which you would like to purchase.  It will default to all un-purchased or reserved segments.  By changing this setting, any segments not selected will not be reserved

3.       The itinerary name will auto populate to the city pair in which you are traveling.  You have the ability to re-name your itinerary for future reference if you wish

4.       If you have selected an �Out of Policy� flight, you will be required to choose a reason for selecting that flight from the drop down box located under #1.

5.       Under #2, click on the Request Seat Assignment link to reserve your seat.  Click on each leg of your trip on the top of your screen to view and select seats for each flight.  See legend at the bottom of your screen for seat availability description.  Scroll to the bottom of the screen and click on save to process your seat request

6.       Credit card information will move over from the profile if provided.  If credit card information is not in your profile, a credit card for hotel guarantee and airline ticket must be added prior to completing this purchase

7.       Answer the question �Was your preferred airline seat acquired� by clicking on the drop down box

8.       Choose your dept or division if applicable.

9.       Click on the Send a Note to Your Travel Agent to communicate or request any information to a travel agent.

10.    Check the box indicating that you have read and accepted the rules and restrictions of your itinerary.

11.    Click on the Buy It button

 

 

    Viewing/Modifying or Cancelling A Trip

 

1.       From the Home Page, select View Reserved Travel under the My Trips section.

2.       Click the applicable link based on the status of your reservation:  Un-purchased Trips (these are the saved trips), Purchased Trips, or Past Trips

3.       Changes to a purchased airline ticket must be made through Fox World Travel.

4.       Changes to a reserved car or hotel reservation can be made in Travelport based on the rules and restrictions of the itinerary by clicking on the Itinerary name and selecting either revise or delete for that portion of the itinerary.
